DMA Law are looking to recruit a Conveyancing Administration Assistant at their Peterlee office for 5 days per week to support Lindsey Small in our Conveyancing Department.

Job Title: Conveyancing Administration Assistant

Location: Peterlee

Salary: Depending on experience

Office Hours: Full-Time: Mon-Fri:  9 am to 5 pm

Basis: Permanent

Start Date: ASAP

Ideally, they should have experience as follows:

  • Possess all-round experience of Residential/Conveyancing transactions
  • Possess good interpersonal skills/communication skills and to be able to work calmly and efficiently under pressure
  • Possess all-round experience of typing skills
  • Have an ability to create and administer the day to day work efficiently and effectively within this role providing the best possible client care at all times
  • Possess a good level of computer literacy and the ability to use bespoke computer systems

Preferable but not essential as training will be given:

  • Use of the SOS Connect case management system
  • Be able to be proactive, well organised and be able to use initiative as well as being a team member

Responsibilities will include:

  • To open Conveyancing files in a timely manner ensuring they meet SRA requirements
  • To be available to see clients on behalf of their respective fee earner to deal with document signing or general update on progress of file
  • To ensure completion of electronic forms and relevant documentation are completed in a timely manner
  • To be able to prioritise workload
  • To deal with all telephone enquiries and if necessary to take comprehensive messages for forwarding to the designated person
  • To accurately draft documents and forms relating to online registrations
  • To apply and adhere to accounts processes and procedures
  • To ensure that all client-related details/documents are recorded and maintained within the Client Case Management System
  • To be available to take World Pay payments from clients ensuring accounts procedures are adhered to at all times
  • To ensure the private client databases are maintained accurately
  • To ensure filing, photocopying and faxing is completed promptly and accurately
  • To be responsible for ensuring the diary system is kept up to date
  • To be responsible for undertaking client ID checks to ensure compliance with necessary regulations
  • To carry out Searches
  • To carry out post-completion registrations
